Function Switch


Certain features may need to be restricted to specific user groups or limited to particular views. The Function Switch ensures role-based access control, maintaining data accuracy and compliance while improving operational efficiency.

Feature Availability Settings

  • Disabled

    The feature is unavailable to all users when disabled.

  • Enabled for Specified Roles

    For enabled features, set them to be available to all users or only to users under specific system roles.

  • Enabled for Specified Views

    For enabled features, configure them to be available only in designated views or in all views.

1. Switches in Worksheets

Show "Create Record" Button

If disabled, the "Create Record" button in the worksheet will be hidden for all users. However, records can still be created via custom buttons or relationship fields.

Comments

Import from Excel

When disabled, or for users without data import permissions, this button will not be visible.

Recycle Bin

If disabled, the Recycle Bin will be unavailable to all users.

If enabled, configure whether the Recycle Bin is accessible only to App Administrators/Developers/Operators or to all users.

When the Recycle Bin is disabled, its entry will not appear in the worksheet.

Statistics

Includes personal charts and public charts, with role-based configurations.

2. Switches in Views

If these two are disabled, the Share button in the view will be hidden.

Once disabled, any previously shared links will become invalid.

Export

The Export button in the view allows users to export all records visible to them within the view.

If disabled, the Export button will not be visible in the view.

Batch Operation

Only Table View supports selecting multiple records for batch operations, which include: Edi, Copy, Delete, Export, Print QR Codes, or Execute Custom Actions.

Both the Export button in Batch Operations and the Export button in the view allow users exporting records visible to them. If data export is entirely prohibited, both export buttons must be disabled.

Quick Edit

When Quick Edit is disabled, the following operations will be affected:

  • In Table View: Clicking a cell to quickly edit field content.

  • In Kanban View/Org View/Gallery View: Quick editing of field content within record cards.

3. Switches in Records

Public Sharing

Record sharing includes public sharing and internal access link sharing.

When both sharing options are disabled, the Share button in the record will be hidden.

Copy/Recreate/Print/Delete

If disabled, the corresponding action buttons will be hidden in the record.

If Print is disabled and no Word/Excel print template is configured, the Print button will not be visible.

Comments/Log

If disabled, the Comments or Log will be hidden.

Attachment Download

If disabled:

  • Attachments cannot be downloaded or shared.
  • Attachments cannot be added to Knowledge.
  • When previewing attachments, printing is disabled.
  • Users can still freely manage attachments they have uploaded themselves (no restrictions apply).

4. Approval

  • System fields

    If enabled, operators can view the following process-related fields in the view: workflow name, status, node assignee, node start time, remaining time, initiator, initiation time.

  • Approval details

    If enabled, when an operator opens the record details page, the approval details will be displayed on the right side.
