Organization Home

Organization administrators can click their profile avatar to access the Organization Management home page, where they can view subscription information, user status, credits balance, and organization quota usage.

Subscription and User Management

• Edition and Expiration Date – Displays the organization's current subscription edition and service expiration date. Click Renew to extend the subscription period.
• Member Seat Management – Displays the current number of active users and the seat limit in real time. Click Expand to purchase additional seats, or click Invite Users to quickly add new employees.

Note: Trial organizations include feature limits equivalent to the Professional Edition, and there is no limit on the number of users during the trial period.

Credits Management

Credits are used to pay for advanced features such as workflow automation, SMS messaging, email delivery, and AI capabilities. (1 credit is equivalent to RMB 1 at a fixed exchange rate.)

Balance and Alerts

• Credits Balance – Displays the organization's current credits balance. Click Usage to view recharge and usage records.
• Credits Alert – Click Credits Alert to configure balance thresholds and receive notifications before credits run low, helping prevent workflow interruptions caused by insufficient credits.

Auto-Purchase Add-on Packages

Click Manage to configure whether the system can automatically use credits to purchase add-on packages when specific resources are running low.

The following resources support automatic add-on purchases:

• Workflow Execution Add-on – Automatically purchases an add-on package when the remaining monthly quota falls below 2%, preventing interruptions to approval processes and automated workflows.
• Synchronization Task Compute Capacity Add-on – Automatically purchases a monthly quota package when the remaining monthly quota falls below 2%.
• File Upload Add-on – Automatically purchases an annual quota package when the remaining annual quota falls below 2%.
• External User Add-on – Automatically purchases an additional 100 external user quota when fewer than 20 external user slots remain.
• Mingo AI Features – Charges are deducted from monthly AI Gift Credits first. The cost is 20 credits per million tokens.
• Mingo AI Features: When enabled, AI usage is first deducted from the monthly AI gift credits, then from the organization's credits. When disabled, once the AI Gift Credits are exhausted, the system will no longer deduct organization credits, and paid Mingo AI features will become unavailable.

AI Gift Credits

AI Gift Credits are complimentary credits provided by HAP to offset the cost of Mingo AI features. When using Mingo AI features, the system consumes AI Gift Credits first. Once they are exhausted, charges are deducted from the organization's credits. Organization administrators can disable credit-based billing for Mingo AI features in Credits Management.

• Free: One-time 50 credits
• Standard: 50 credits/month
• Professional: 100 credits/month
• Ultimate: 200 credits/month

AI Gift Credits are refreshed automatically on the first day of each month. Unused credits do not roll over to the next month. If both AI Gift Credits and organization credits are exhausted, Mingo AI features will no longer be available.

Organization Quotas

The Organization Quota section displays resource usage across the organization. Click Usage Analysis in the upper-right corner to view detailed usage trends and charts.

• Core Resources – Includes the number of applications, total worksheets, total records, direct synchronization tasks, ETL processing tasks, and more. These resources are typically not subject to quota limits in the current edition, but usage statistics are still displayed.
• Quota-Limited Resources – Includes the number of aggregated tables, external portal users, vector knowledge bases, vector knowledge base chunks, and more. These resources have fixed limits. Click Expand next to a resource to increase its available capacity.
