Batch Operations


In the worksheet, users can batch modify, batch copy, batch export, batch delete, batch print records, etc.

This feature is only available in the grid view.

Enable Batch Operations

Admins go to [Form Settings] > [Function Switch] to enable batch actions (to set which users and views it is available to).

1. Batch Select Records

1.1  Select target records

You can batch select records in following ways:

  • Select target records one by one
  • Press [Shift] to batch select
  • Select all records on a page
  • Select all records in a view
  • Invert selection

1.2  Batch operations

After selecting records, you can choose to batch edit, batch copy, batch print, batch export, batch delete records, etc.

  • Batch printing requires a Word or Excel printing template, if there is no Word or Excel printing template in a view, you can only batch print QR codes.

  • If the selected records are more than 1000, the first 1000 will be processed automatically.

  • After all records are selected, if a record is unchecked at this time, it changes to just selecting the records on this page.

2. Batch Edit Records

You can batch edit values of a field.

  • Batch clear the selected field values.
  • Batch modify the value to a new one.
  • Batch associate the selected with other records.

Note:

  • Batch modifications cannot be undone.

  • Values of system field cannot be modified in batch, such as time created, time modified, and creator.

  • The value of the title field cannot be cleared and can only be modified.

3. Batch Delete Records

  • For Non-Admins

    When batch deleting, you can delete up to 1000 rows of records at a time, if the checked records are more than 1000, only the first 1000 rows of records will be deleted. The deleted records go to the Recycle Bin and can be restored.

  • For Admins

    When all records in the view are checked and there are more than 1000 rows, the Admins can completely delete all records selected.

    • Records cannot be recovered once they have been deleted.

    • The association between the other worksheets and the deleted record will not be cleared, and the deleted record will be displayed as "Deleted".

    • Complete deletion does not trigger the workflow.

4. Batch Copy Records

Copy up to 20 records at one time.

6. Batch Export Files

Files in one or more attachment fields in multiple records can be downloaded in bulk.

7. Batch Print Records

  • Print QR Code/Barcode

    You can print the QR code or barcode of each record. After this, users can scan the code to view the record details.

    For example, for records about device information, print the QR code, paste it to the device, and the user can scan the code to view the device details.

  • Print Record

    You can print records with a Word template, which requires setting a printing template in advance.

8. Custom Button

If you set conditions for the button:

  • If you select one record, the button is displayed if the set conditions are met, and if not, the button is not displayed.

  • If you select multiple records, the button is displayed. If there are records that do not match the conditions, the workflow cannot be triggered.

9. Batch Refresh

Batch refreshing can help update the field values in the worksheet and the sorting of records. This feature is only available to APP Admins.
