Billing Rules for External Users

Both the Free and Paid editions of HAP include 100 external users by default. If this quota is exceeded, you’ll need to purchase an external user expansion pack.

Free and Trial editions do not offer expansion or renewal options.
You must upgrade to a licensed plan before expanding external user capacity.

Who Counts Toward the Quota?​

  • Verified external users registered via external portal links
  • Pending or inactive external users are not counted
  • If the same person registers for two different apps, they count as 2 users

Pricing Rules (SaaS)​

External user packs must be purchased in multiples of 100. The minimum purchase is 100 users.

Payment Calculation​

Actual Payment Amount = Remaining days of license × (Annual fee / 365) × (Number of users / pack size)

Example 1: You purchased a 1-year HAP license. After 100 days, you want to purchase 100 external users.

  • Remaining days = 265
  • Fee: (265) × (500 / 365) × (100 / 100) = ¥363.01

Example 2: You want to purchase 300 external users after 100 days:

  • Fee: (265) × (500 / 365) × (300 / 100) = ¥1,089.04

  • At this point, buying a 1,000-user pack is more cost-effective:

    • (265) × (1,000 / 365) × (1,000 / 1,000) = ¥726.03

How to Check Remaining License Days​

Organization administrator goes to [Org Admin] > [Home] via profile avatar to see how many days remain on license.

Free and Trial Editions​

  • You can use up to 100 external users by default.
    If exceeded, newly registered users will be marked as Pending or Inactive, and a warning message will appear.
  • You cannot purchase additional external users unless you upgrade to a paid plan.

Example: You purchased a 3-year license, have 1 year left, and then renew for another 3 years.

  • If you purchase external users now, the billing period is based on the 1 remaining year
  • If you renew external users later, it will be calculated over the full 4 years
