Function Switch


In a worksheet, some features may be available only to some users, for example, only Admins can import data, while other members can only add records one by one. Some features may be available only in a certain view, for example, if you want to print the approved records, you can only print them in the “Approved” view.

Three Available Scopes of Features

  • Disabled

    If a feature is disabled, it is unavailable to all users.

  • Available to certain roles

    For an enabled feature, you can set it to be available to all users, or only to system roles.

  • Available in certain views

    For an enabled feature, you can set it to be available in all views, or only in some views.

1. Function Switch in Worksheet

Show [Create] Button

If disabled, there is no Create button in the worksheet for whatever roles or permissions, but you can create records through custom buttons or associated records.

Comments/Log

Usually, comments and logs are in the same icon (the comment icon), and once entered, you can view discussions and logs. If comments are disabled, there is a log icon displayed for the entry. If logs are also disabled, there is no longer an icon displayed.

If comments are disabled, there is a log icon.

Import Data from Excel

The button is not visible when it is disabled or for users to whom it is not available.

Recycle Bin

When it is disabled, Recycle Bin is not available to anyone; when it is enabled, you can set whether Recycle Bin is available only to administrators, developers, operators, or to all users.

When disabled, there is no entry for Recycle Bin in the worksheet.

Statistics

Stats are categorized into personal and public stats, in combination with the available roles, for example, common members can only create and view personal stats.

2. Function Switch in View

Share/Export View

When disabled, the buttons shown below are not visible.

  • If [Public Share] is disabled, the links that have been shared are invalid.

Both Batch Export and Export View can export records that are visible to you in the view. Both need to be disabled if exporting is not allowed.

Quick Editing

  • When it is disabled, users cannot quickly click on cells to edit fields in grid view.

  • When it is disabled, users cannot quickly edit fields in record cards in board, org and gallery views.

Batch Actions

Batch selecting are available only in grid view; batch actions include editing, copying, deleting, exporting, printing QR code and execute custom actions.

Both Batch Export and Export View can export records that are visible to you in the view. Both need to be disabled if exporting is not allowed.

3. Function Switch in Record

Share/Print/Copy Record

When it is disabled, there is no action buttons.

  • When [Public Share] is disabled, only the publicly shared links are hidden, while internal shared links are not affected.

  • If [System Default Printing] is disabled, printing with system templates and Word templates is not affected.

Comments/Log

When disabled, the buttons shown below are not visible.

Attachment Download

When disabled, users can't download attachments, share attachments, add attachments to Knowledge, or print attachments when previewing, but only delete attachments. Attachments uploaded by themselves are not restricted.

4. Function Switch in Approval

  • [System Fields]

    When enabled, the workflow name, status, node owner, node starting time, remaining time, initiator, and time initiated are displayed in the view.

  • [Circulation of Approval]

    When enabled, operators can see the approval process and the workflow details on the right side of the record details page.
